The primary functions of the Spaces application are covered in detail in this guide. Click on the Spaces card on the Home Page to get started.

Meeting Room

Collaborate with multiple users, brainstorm ideas, and discuss project plans all using Spaces capabilities. Spaces provide a professional environment to meet and share visual content on a destination.

Server Player Meeting Room

Spaces created using Server Player are created and streamed through the server. Use the Server Player configuration to create a collaboration space with a video wall as a destination.

uClient Player Meeting Room

Spaces created using uClient Player enable casting directly to the local destination uClient.This type of setup is only appropriate for single-display casting destinations. It facilitates streaming in large deployments where the system needs to support rapid processing and distributed playback.

Create a Meeting Room

  1. Enter details

    • Enter the name. For example, Marketing Huddle Room.

    • Enter the Description.

    • Enable the Air-Gapped option if your setup operates without an internet connection. Refer to the DNS Configuration section for more information.

    • Copy the Meeting Room link to your clipboard. This will be used to launch the meeting.

    • Set a Welcome Message for your audience.

    • Enter the Width and Height of the meeting room. Ideally, it is the width and height of the destination.

    • Spaces have a default meeting room background visible when you access your meeting room. To customize the background image according to your brand, upload a background image using the Upload Custom Background option.

  2. Drag and Drop a destination to map it to the meeting room.

A pairing code appears on the destination. This pairing code is used to access the meeting room.

Meeting Room

  1. Enter the pairing code as displayed on the destination.

  2. Click Next.

Share Screen

The feature allows participants to share screen and present content on the meeting room destinations.

Space Layout

Spaces offers two space layouts options Grid and Spotight.

Grid: It arranges all shared screens in equal ration on the screen. An example of four presenters presenting content simultaneously.

Spotlight: One participant's screen sharing is magnified, while the shared screens of other participants are arranged in the right-hand column in proportionately reduced sizes.

Destination View- An example of of two presenters presenting content simultaneously using Spotlight Space layout.

To switch screens, double-click on the other screen. The chosen screen becomes the main screen when the screen switches.

Requirements for Resource Sharing

  • The platform should have internet connection.

  • The user must be on the same network as the server or connected to the same network via a corporate VPN.

  • HTTPS must be configured on the server.

  • Participant should have appropriate resource sharing permissions.

  • Participant should have access to serverKeycloak credentials.

  • At least one HLS streaming mapping group must be activated. If not, the system will continue displaying active resources but will not initiate the resource sharing process.

Info: Please reset the video engine if the server configuration changes from HTTP to HTTPS.

Launch the Meeting

Open a web browser and paste the meeting URL in the address bar. The meeting room menu appears.

  • Click Connect and select the Tab/ Window/ Entire Screen to share. You can mute yourself using the Mute option.

DNS Configuration

In case you are accessing the meeting room from an air-gapped environment, set up a DNS configuration to access your meeting.

  1. Navigate to System Configuration > HTTPS Support Configuration.

  2. Log in using your username and password. Userful provides this login ID; the password is set during the initial setup. The Site Creation screen appears.

  3. If the server is installed behind the subnet, the IT department will need to enable port forwarding. For example, the external port should point to port 433 internally (host:9443 -> 433). The customer's IT department can also set DNS routing to customize the link to a space.

The default syntax of the Spaces meeting room link is 
https://host_IP_ADDRESS/meetingroomname

Syntax after DNS configuration is 
https://host_IP_ADDRESS:port/meeting

Edit the Meeting Room

  1. Click on the meeting room card.

  2. The Details tab helps you modify meeting room details.
